About the Role 

We are seeking a highly motivated and customer-obsessed Executive Assistant to support two Directors. This role requires strong focus and execution and will be responsible for a high volume of tasks, including complex calendar management and scheduling, prioritizing amidst a high volume of information and requests, managing travel and expenses, and providing administrative support functions. 

The Executive Assistant will also manage multiple tasks and action items, including documentation, follow-up, and preparation for the Directors, ensuring appropriate and timely action on deliverables. 

 

Roles & Responsibilities 

  • Manage complex calendar scheduling for two Directors 

  • Effectively prioritize competing requests and changing priorities 

  • Monitor and track Director meetings, priorities, and emails 

  • Act as proxy when necessary 

  • Coordinate domestic and international travel arrangements 

  • Manage expense reporting and reimbursement processes 

  • Provide administrative support to senior leadership 

  • Manage documentation, meeting preparation, and follow-up activities 

  • Track deliverables and ensure timely completion of action items 

  • Coordinate with internal and external stakeholders while maintaining professionalism and discretion 

 

Requirements  

  • 2–3 years of experience supporting senior management, including Directors, VPs, SVPs, or CEOs 

  • Ability to complete a high volume of tasks and projects with little to no guidance 

  • Impeccable attention to detail 

  • Ability to make smart and timely decisions 

  • Ability to react with appropriate urgency to situations requiring quick response or turnaround 

  • Exceptional verbal and written communication skills 

  • Ability to switch priorities quickly in a fast-paced environment 

  • High level of integrity and discretion when handling confidential information 

  • Professionalism when working with senior professionals inside and outside the organization 

  • Experience managing multiple priorities and tight deadlines 
     

Top Skills 

  • Strong working knowledge of Microsoft Office and Outlook tools. 

  • Has calendar management exp, exp with expense reports, experience with meeting with directors/leaders. 

  • Has booked travel tickets- domestic/international, able to work in different time zones (Global Team)
