Job Title: Grants Operations Support Consultant

Pay Range: $35.00 – $45.00 per hour
Summary
We are seeking a Grants Operations Support Consultant to oversee and execute our grantmaking operations. This role is a hybrid of high-level operational management and direct execution, ensuring the efficient and accurate delivery of charitable contributions across the country. In addition to individual tasks, this position serves as the primary point of contact and manager for our Grant Operations Support Contractors, technology vendor, and relevant internal partners.
Responsibilities
Grantmaking & System Management
- Grantmaking: Manage the end-to-end process for grant disbursements and invoice payments.
- System Expertise: Maintain deep, end-to-end familiarity with grantmaking software and other financial systems to troubleshoot issues.
- Inbox Oversight: Oversee the Foundation’s general inboxes, ensuring all inquiries are handled with high-quality, timely responses—either through direct action or delegation to the contractor team.
- Quality Control: Proofread and test updates to proposal types and impact reports to ensure system-wide accuracy.
Operational Leadership & Oversight
- Contractor Management: Serve as the primary point of contact for the operations team. Host twice-weekly touchpoints to set priorities, monitor status updates, and ensure workload balance.
- Liaison with Stakeholders: Serve as the primary liaison between the Foundation’s technology vendor and internal stakeholders (Finance, Legal, and Program teams) to coordinate system updates, troubleshoot issues, and ensure alignment with grantmaking and financial processes.
- Process Documentation: Develop end-to-end “job aids” and standard operating procedures (SOPs) for grant processing and financial systems.
- Team Training: Act as the subject matter expert (SME) to train Foundation team members and contractors on grant software and internal financial processes.
- Reporting: Run and produce customized reports based on needs from program leads, such as finances, volunteer hours, and impact metrics, as well as aggregate updates from the operations team to share progress and milestones with Foundation leadership.
Required Skills & Qualifications
- Leadership Experience: Proven ability to manage workflows, set priorities for a team, and communicate updates to leadership.
- Technical Mastery: Advanced proficiency in grant software and Microsoft Office Suite.
- Instructional Ability: Skilled at translating complex processes into clear, written documentation or training sessions.
- Precision & Detail: High comfort level with financial data, bank reconciliations, and complex documentation.
- Strategic Prioritization: Ability to manage one’s own deadlines while simultaneously unblocking tasks for other team members.
