Administrative Services Assistant

Location: Nashville, TN (Hybrid)
Contract: September 2026 – June 2027 (Renewable Annually)
Pay Rate: Up to $29/hour

The Tennessee Department of Health is seeking an Administrative Services Assistant to support the CHANT Enhanced Care Coordination in Maternity Care Deserts Project, a grant-funded initiative focused on improving maternal healthcare access and outcomes across Tennessee.

This role combines administrative support, grant coordination, stakeholder engagement, reporting, and project operations. The ideal candidate is highly organized, detail-oriented, and experienced supporting grant-funded, healthcare, public health, or government programs.

Responsibilities

  • Coordinate day-to-day administrative operations for the CHANT Enhanced Care Coordination project.
  • Serve as the primary point of contact with Walmart and approved retail partners to support the Welcome Home Gift Registry program.
  • Process invoices, maintain documentation, and track grant expenditures to ensure compliance with state and federal requirements.
  • Schedule and coordinate program meetings, vendor check-ins, and partner engagement activities.
  • Prepare agendas, meeting minutes, action logs, reports, and project updates.
  • Support virtual and in-person training events, including registration, materials preparation, and attendance tracking.
  • Maintain organized project records and files within SharePoint and other state systems.
  • Draft communications, memos, and participant-facing materials using clear and accessible language.
  • Assist with quality improvement initiatives, sustainability planning, and documentation of best practices.
  • Monitor operational barriers and escalate issues impacting program success.

Qualifications

  • Associate’s or Bachelor’s degree required.
  • Minimum one year of experience providing administrative or fiscal support for grant-funded programs.
  • Strong organizational, communication, and project coordination skills.
  • Experience managing documentation, reporting, invoices, and compliance-related activities.
  • Proficiency with Microsoft Office and SharePoint.
  • Healthcare, public health, government, nonprofit, or grant-funded program experience preferred.
  • Supervisory experience is a plus.

Work Environment

  • Hybrid work arrangement.
  • First day onsite in Nashville for orientation and equipment deployment.
  • Quarterly onsite attendance required for division meetings.
  • Standard schedule: Monday–Friday, 8:00 AM–4:30 PM CST.
