Overview
We are seeking a Temporary Administrative Support Specialist to manage tool support operations for our agent teams. This role serves as the operational backbone for agent tool access, ensuring employees have the systems and resources they need to be successful. The ideal candidate is highly organized, thrives in a fast-paced environment, and can effectively manage multiple priorities across various teams and locations.
Key Responsibilities
Tool Provisioning
- Set up and grant system access for new agents prior to training and class start dates.
- Ensure all required tools and systems are fully operational and accessible on day one.
Technical Support & Troubleshooting
- Serve as the first point of contact for tool-related issues and access requests.
- Resolve basic technical issues independently and escalate complex issues to the appropriate support teams.
Cross-Functional Coordination
- Act as a liaison between agents and technical support teams.
- Monitor open tickets, provide status updates, and drive timely resolution of issues.
Access Management & Deprovisioning
- Promptly revoke system access for departing employees in accordance with compliance and security requirements.
- Ensure all access changes are completed accurately and within established timelines.
Tracking & Documentation
- Maintain accurate records of tool access, system status, and support activities across multiple classes and locations.
- Monitor provisioning and deprovisioning workflows to ensure operational efficiency.
Stakeholder Communication
- Provide clear and timely updates to managers, trainers, support teams, and agents regarding system access and issue resolution.
- Communicate proactively to ensure stakeholders remain informed throughout the support process.
Qualifications
- Strong organizational skills with the ability to manage multiple workstreams simultaneously while maintaining accuracy and attention to detail.
- Excellent written and verbal communication skills.
- Proven ability to collaborate across teams and effectively follow through on open issues to resolution.
- Strong technical aptitude with the ability to quickly learn new tools, systems, and processes.
- Ability to work under deadlines and adapt to changing priorities in a fast-paced environment.
- Previous experience in administrative support, operations coordination, IT support, or a related field preferred.
- Experience with ticketing systems, spreadsheets, and tracking tools is a plus.
