Position Overview

We are seeking a customer-focused Conferencing Concierge to provide exceptional meeting and collaboration support within a fast-paced corporate office environment. This highly visible role combines technical troubleshooting expertise with outstanding customer service to ensure seamless meeting experiences for employees, leadership teams, and business stakeholders.

The ideal candidate will serve as a trusted collaboration technology expert, proactively preparing conference spaces, responding to real-time meeting issues, and helping users maximize the effectiveness of modern workplace communication tools.

Key Responsibilities

Conference Room Operations

  • Perform daily conference room readiness checks prior to scheduled meetings.
  • Verify functionality of audio/video equipment, displays, room controls, and connectivity.
  • Ensure meeting spaces are fully operational and consistently meet quality standards.
  • Proactively identify and resolve technical issues before they impact users.

Meeting & Event Support

  • Provide onsite support for meetings, presentations, and high-visibility events.
  • Respond quickly to technical issues and minimize disruptions during live meetings.
  • Troubleshoot audio, video, content sharing, connectivity, and device pairing issues.
  • Support users with collaboration tools and meeting room technology.

Technical Support & Maintenance

  • Assist with maintaining conference room hardware, software, and collaboration platforms.
  • Coordinate with technical teams and vendors to address recurring issues.
  • Document, track, and follow up on outstanding technical improvements or installations.
  • Support firmware and software updates across conferencing environments.

User Training & Guidance

  • Provide hands-on assistance and coaching to meeting participants.
  • Educate users on collaboration best practices and meeting room technology.
  • Offer guidance on wireless sharing, meeting controls, and conference room features.
  • Promote a positive and approachable support experience.

Cross-Functional Collaboration

  • Provide remote troubleshooting assistance for users at other office locations as needed.
  • Partner with service desk, engineering, and support teams to resolve complex issues.
  • Share trends, insights, and recurring challenges to enhance the overall user experience.

Continuous Improvement

  • Monitor service performance and contribute to process improvements.
  • Help improve meeting room reliability, incident resolution times, and user satisfaction.
  • Identify opportunities to enhance collaboration technologies and support processes.

Required Qualifications

  • Experience supporting enterprise conferencing and collaboration technologies.
  • Strong troubleshooting skills involving audiovisual equipment, networking, and endpoint devices.
  • Ability to diagnose and resolve technical issues in real-time, including onsite intervention.
  • Knowledge of conference room technology, audio/video systems, and collaboration tools.
  • Experience working independently in a fast-paced, customer-focused environment.
  • Strong verbal and written communication skills.

Preferred Qualifications

  • Experience supporting executive or high-profile meeting environments.
  • Familiarity with conferencing hardware and collaboration solutions from leading vendors.
  • Experience utilizing service desk, ticketing, or incident management tools.
  • Exposure to enterprise collaboration support, user adoption, or workplace technology initiatives.
