Department Summary
The Electric Supply Engineering (ESE) Document Management team is responsible for managing Electrical Engineering Records (ERC) that support Electric Supply Operations. This includes overseeing project records throughout the capital project lifecycle in partnership with Engineering and Enterprise Project Management (EPMO). The team also provides drafting support, maintains Computer-Aided Drafting (CAD) standards, and ensures configuration management for operational assets. Their work is critical to the successful execution of the company’s capital investment strategy and the integrity of engineering documentation.
Document Control Specialist I
Position Overview
The Document Control Specialist I supports document control activities for construction and capital projects while assisting with broader ESE Document Management functions. This role ensures engineering and project documentation is accurately managed, maintained, distributed, and archived in accordance with established procedures and standards.
Key Responsibilities
Document Control & Records Management
- Process engineering and project records, including:
- Drawings
- Manuals
- Transmittals
- Correspondence
- Engineering Change Notices (ECNs)
- Manage records associated with plant modifications and project execution.
- Maintain and update electronic document management databases used to track, distribute, and transmit project documentation and vendor submittals.
- Request and manage controlled document numbers according to established numbering conventions.
- Support the management and continuous improvement of document control procedures and records management processes.
Engineering & Project Support
- Partner with engineering personnel to ensure compliance with document review and record retention requirements.
- Provide document control support throughout project design, construction, and closeout phases.
- Supply hard-copy documentation to project teams during construction activities.
- Deliver required project records and critical documentation to Plant Document Control upon project completion.
- Coordinate with engineering, drafting, and plant personnel to support project documentation needs.
Quality Assurance & Compliance
- Review and audit engineering records for completeness, accuracy, and compliance.
- Identify documentation issues and assist in implementing corrective actions.
- Support configuration management efforts by ensuring engineering documentation remains current and controlled.
- Promote safe work practices and adherence to company standards and policies.
Reporting & Administration
- Prepare activity reports for Daily, Weekly, and Monthly Operating Reviews.
- Maintain organized work areas and document storage systems.
- Oversee supplies for printing and plotting equipment, including coordination with IT support when necessary.
Required Qualifications
Experience
- 2–4 years of experience in records management, document control, or a related field.
- Experience working with document management systems or document control software.
Education
- High School Diploma or equivalent required.

- Plotter and scanner operation experience.
Education & Training
Associate degree coursework or specialization in:
- Information Science
- Data Processing
- Data Processing Technology
Industry Experience
- Utility industry experience
- Engineering document control
- Construction project document management
Physical Requirements
- May be required to transport large rolled engineering drawings and prints throughout plant and project locations.
- Ability to work in both office and plant environments as needed.
