Summary
Join our team as an Executive Assistant supporting VP-level leadership, providing high-level administrative, clerical, and personal support. This role requires exceptional organizational skills, executive-level communication, and the ability to manage complex schedules, travel, confidential information, and cross-functional coordination. You will serve as a critical partner to executive leadership, ensuring seamless operations, precise communication, and efficient workflow. Responsibilities include managing executive calendars, coordinating domestic and international travel, preparing presentations and executive reports, handling highly confidential materials, and facilitating meetings, events, and internal communications.
 
Key Responsibilities

  • Manage comprehensive executive scheduling, including conflict resolution, prioritization, and meeting logistics.
  • Plan, organize, and prioritize multiple assignments and projects with minimal direction.
  • Serve as the primary point of contact for executive-level communications, screening and identifying items requiring urgent action.
  • Maintain the executive’s detailed itinerary, schedule, and continuity of key business and industry relationships.
  • Coordinate domestic and international travel arrangements, including accommodations, flights, transportation, and itineraries.
  • Prepare executive-level reports, presentations, spreadsheets, and communications for internal and external audiences.
  • Schedule and coordinate meetings, conference rooms, visitor accommodations, and all related logistics.
  • Support VIP visitor management, including special arrangements and travel needs.
  • Interpret and clarify incoming requests, ensuring accurate follow-through and documentation.
  • Maintain inventory of office equipment and supplies; manage general affairs tasks such as department events and office operations.
  • Manage expense reporting with accuracy, timeliness, and adherence to budget guidelines.
  • Assist in planning and executing internal and external events, workshops, and leadership meetings.
  • Maintain network access, applications, and resolve minor technology issues for the executive team.
  • Uphold confidentiality with sensitive information, both business-related and personal.
  • Foster strong relationships across the organization by maintaining executive visibility and appropriate follow-up (e.g., thank-you notes, policy-based gifts).
  • Assist with project and committee assignments as needed.

 
Required Qualifications

  • Bachelor’s degree and a minimum of 5 years of Executive Assistant experience supporting VP-level executives and staff.
  • Demonstrated expertise in executive-level schedule management, communication, and prioritization.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint), including creation of executive presentations, graphs, tables, and reports.
  • Exceptional verbal and written communication skills with the ability to interact professionally with internal staff, external partners, agencies, and senior leadership.
  • Ability to read, prepare, and interpret executive-level documents, presentations, and contracts.
  • Proven ability to manage highly confidential and sensitive materials.
  • Bilingual capability required: Proficiency in speaking, reading, and writing Korean.
  • Strong attention to detail, professionalism, and a proactive approach to problem-solving.
