Position Summary
We are seeking an experienced Executive Assistant / Tax Project Administrator to provide high-level administrative and operational support to senior finance leadership within a global organization. This role partners closely with executive leadership to coordinate schedules, meetings, travel, presentations, reporting activities, and departmental operations while ensuring priorities are managed effectively in a fast-paced corporate environment.
The ideal candidate is a polished administrative professional with extensive executive support experience, exceptional organizational skills, and the ability to anticipate needs, manage competing priorities, and maintain confidentiality when handling sensitive information.
Key Responsibilities
- Manage complex executive calendars, scheduling, and meeting coordination for senior leadership.
- Coordinate meetings, prepare agendas, distribute materials, and track follow-up activities.
- Arrange domestic and international travel, including itineraries, accommodations, and logistics.
- Prepare presentations, reports, spreadsheets, and executive correspondence.
- Process expense reports and support administrative financial activities.
- Coordinate vendor setup, purchase orders, invoice processing, and budget tracking activities.
- Maintain department records, documentation, and confidential business information.
- Schedule conference rooms, manage office operations, and support department logistics.
- Collect, organize, and compile information for leadership meetings and special projects.
- Partner with internal teams and external stakeholders across multiple locations and time zones.
- Support executive leadership with ad hoc requests and operational initiatives.
- Maintain professionalism, discretion, and confidentiality in all business interactions.
Required Skills

Qualifications
- 7+ years of administrative experience supporting senior executives, executives, or leadership teams.
- Experience managing complex calendars, travel coordination, meeting logistics, and executive communications.
- Bachelor’s degree preferred but not required.
- Previous experience supporting Finance, Accounting, Tax, Corporate, Legal, or Executive Leadership teams is preferred.
- Experience working with global teams and multiple time zones is a plus.
