Epitec is seeking to hire for a major healthcare company an experienced Executive Recruiting Coordinator to support a high-performing Executive Recruiting team. This Contract-to-Hire opportunity is focused on delivering a world-class, white-glove candidate experience while partnering closely with Executive Recruiters, Hiring Managers, and senior business leaders.
This role is ideal for a recruiting professional who thrives in a fast-paced environment, enjoys managing complex scheduling logistics, and excels at creating a seamless executive candidate experience. The ideal candidate is highly organized, proactive, detail-oriented, and capable of helping improve and scale recruiting coordination processes within a large, matrixed organization.

Key Responsibilities

Coordinate executive-level interview scheduling across multiple stakeholders and calendars.

Manage all interview logistics including:

Calendar invitations

Conference room reservations

Microsoft Teams meetings

Video conferencing setup

Dial-in coordination
-

Create and distribute professional interview agendas.

Ensure a consistent, high-touch candidate experience throughout the hiring process.

Maintain candidate workflow and status updates within the ATS.

Partner closely with Executive Recruiters to ensure seamless candidate movement.

Respond to scheduling requests and candidate inquiries promptly.

Build strong relationships with recruiters, hiring managers, and executive stakeholders.

Support recruiting operations and process improvement initiatives.

Assist with special projects and Talent Acquisition activities as needed.

Ensure all communications are professional, timely, and candidate-focused.
Required Qualifications

3+ years of Recruiting Coordinator experience

Experience supporting Executive Recruiting activities

Experience coordinating complex interview schedules

Experience working within a large, matrixed organization

Experience with Applicant Tracking Systems (ATS)

Strong written and verbal communication skills

Exceptional organizational skills and attention to detail
