Overview
- Our client is seeking a Project Data Management Coordinator (Document Controller) to support large-scale engineering and construction projects within a global project portfolio.
- This individual will be responsible for ensuring document control processes are executed efficiently throughout the project lifecycle, supporting project teams, contractors, and stakeholders across multiple locations and time zones.
- The ideal candidate will have strong experience in document control within engineering or construction environments, excellent stakeholder management skills, and the ability to drive process improvements while maintaining high-quality project documentation standards.
Responsibilities
- Manage and maintain project documentation throughout the full project lifecycle, ensuring accuracy, quality, and compliance with document control standards.
- Perform quality reviews and verification of engineering deliverables, contractor submissions, and project documentation.
- Coordinate the receipt, distribution, tracking, storage, retrieval, and archival of project documents and engineering drawings.
- Support project startup activities, contractor onboarding, project closeout activities, and documentation handover processes.
- Track outstanding deliverables, RFIs, and documentation requirements while ensuring timely follow-up with contractors and project stakeholders.
- Provide document control training and technical support to internal teams, contractors, and external project partners.
- Facilitate user training for document management systems including InEight and SharePoint.
- Participate in project coordination meetings and maintain communication with project teams to ensure documentation milestones are achieved.
- Generate and distribute weekly expediting and project reporting metrics.
- Conduct ongoing contractor engagement activities including regular check-ins and document control reviews.
- Maintain project distribution matrices and document control procedures.
- Monitor team workload, documentation metrics, and project performance indicators.
- Escalate unresolved document control issues and risks to project leadership as required.
- Support continuous improvement initiatives by identifying opportunities to enhance document management processes and workflows.
- Coordinate and streamline system access requests and user support activities.
- Develop project setup and document handover plans in collaboration with project leadership.
- Collaborate closely with engineering, construction, procurement, contractor, and project management teams to ensure alignment on documentation requirements.
Qualifications
- Minimum 5 years of document control experience supporting large engineering, infrastructure, mining, or construction projects.
- Experience managing project documentation across multiple project phases, from planning and design through handover and closeout.
- Strong understanding of document control systems, processes, standards, and governance.
- Experience working with engineering drawings, technical documentation, and contractor deliverables.
- Previous experience managing or mentoring document control personnel or coordinating document control activities within a project environment.
- Experience onboarding contractors, suppliers, and project stakeholders.
- Strong stakeholder management, communication, and relationship-building skills.
- Ability to work effectively in a fast-paced environment with competing priorities and deadlines.
- Strong organizational skills with exceptional attention to detail.
- Experience supporting projects both in office and project-site environments is preferred.
