Position Overview
We are seeking a highly organized and proactive Project Manager to lead the operational planning and execution of our global Systems Engineering Certificate Program (SECP). This role serves as the operational backbone of the program, translating strategy into execution by managing project plans, stakeholder coordination, financial activities, communications, reporting, and program delivery across multiple regions.
The ideal candidate is a detail-oriented project management professional who can independently manage complex initiatives, coordinate cross-functional stakeholders, and drive program success through disciplined planning, process optimization, and continuous improvement.
Key Responsibilities
Program & Project Management
- Develop and maintain integrated project plans for global cohorts, modules, and program activities.
- Manage schedules, dependencies, deliverables, risks, issues, and action items.
- Coordinate multiple concurrent workstreams across regions and time zones.
- Track program progress and proactively identify resource, financial, and delivery risks.
- Establish scalable processes, templates, controls, and operational standards.
- Escalate critical issues and provide recommendations for resolution.
Cohort Planning & Program Delivery
- Manage end-to-end operational readiness for program cohorts and training modules.
- Coordinate facilities, travel, logistics, technology, materials, catering, and vendor support.
- Conduct readiness reviews and resolve delivery gaps before program launch.
- Support post-program activities, lessons learned sessions, and follow-up actions.
Participant Lifecycle Management
- Manage participant activities from application through program completion.
- Maintain participant records, rosters, attendance tracking, and completion requirements.
- Coordinate onboarding, communications, travel guidance, pre-work, and certifications.
- Provide timely resolution of participant inquiries and issues.
Instructor Coordination & Development
- Manage instructor assignments, availability, and readiness across cohorts.
- Coordinate preparation meetings, travel, course materials, and delivery support.
- Support instructor development programs, pipeline planning, and future assignments.
- Collect instructor feedback and incorporate improvements into future program cycles.
Financial Management
- Maintain budgets, forecasts, expense tracking, and cost recovery activities.
- Coordinate purchase orders, invoices, vendor payments, travel expenses, and procurement processes.
- Monitor financial performance and provide variance analysis and reporting.
- Ensure financial documentation and controls are maintained accurately.
Communications & Stakeholder Engagement
- Develop and execute communication plans for participants, instructors, managers, HR partners, and leadership.
- Facilitate planning, governance, and stakeholder meetings.
- Prepare agendas, status updates, presentations, and executive-level reporting.
- Build strong relationships across business units, regions, and external partners.
Systems, Reporting & Governance
- Maintain program data and documentation within Microsoft 365 platforms, including Teams, SharePoint, Planner, Loop, Forms, and Excel.
- Develop dashboards and reports for participation, delivery performance, financial tracking, and program outcomes.
- Ensure compliance with established processes, controls, and governance practices.
- Maintain accurate records of decisions, risks, issues, and lessons learned.
Continuous Improvement
- Lead operational retrospectives and process improvement initiatives.
- Identify opportunities to improve efficiency, scalability, consistency, and participant experience.
- Develop and enhance repeatable operating models, templates, and procedures.
Required Qualifications
Education & Experience
- Bachelor’s degree or equivalent combination of education and experience.
- 2-5 years of experience in project management, program management, operations, learning delivery, or related disciplines.
- Experience managing complex projects with multiple stakeholders, deadlines, and competing priorities.
- Experience coordinating initiatives across multiple functions, regions, or time zones.
Technical & Project Management Skills
- Strong project planning, risk management, issue resolution, and stakeholder management capabilities.
- Experience managing budgets, forecasts, procurement, expenses, and financial tracking.
- Advanced proficiency with Microsoft 365 applications, including:
- Excel

- Experience creating standardized processes, templates, and operational controls.
Communication & Leadership Skills

Preferred Qualifications
- Experience supporting technical training, learning and development, or capability-building programs.
- Experience coordinating cohort-based or instructor-led learning programs.
- Experience working within engineering, technical, or consulting organizations.
- Familiarity with financial systems, procurement processes, invoicing, and cost recovery.
- Project Management Professional (PMP) certification or formal project management training.
- Experience leveraging data and reporting to drive operational improvements and decision-making.
