Job Title: Recruiter Assistant

Summary
The Recruiter Assistant provides administrative and operational support to the Talent Acquisition team throughout the recruiting and hiring process. This role is responsible for coordinating interviews, communicating with candidates, managing pre-employment requirements, processing applicant information, and assisting recruiters with day-to-day recruiting activities. The ideal candidate is highly organized, detail-oriented, customer-focused, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
Recruitment Coordination
- Assist recruiters with scheduling interviews between candidates and hiring managers.
- Coordinate calendars and communicate interview details to all participants.
- Maintain interview schedules and ensure a positive candidate experience throughout the hiring process.
- Refer qualified applicants to appropriate job openings based on skills and experience.
Candidate & Pre-Employment Support
- Administer and track pre-employment forms, assessments, and testing requirements.
- Ensure completion of all required onboarding and hiring documentation.
- Conduct employment and professional reference checks.
- Follow up with candidates regarding application status and outstanding documentation.
Data Management & Administrative Support
- Maintain accurate candidate and recruiting records within the Applicant Tracking System (ATS).
- Process employee status changes and update personnel information as needed.
- Assist with preparing hiring packets, offer documentation, and onboarding materials.
- Generate reports and provide recruiting metrics as requested.
Customer Service & Communication
- Serve as a point of contact for candidates regarding interview schedules, hiring requirements, and onboarding activities.
- Provide timely and professional communication to candidates, hiring managers, and recruiters.
- Support Talent Acquisition initiatives and special projects as assigned.
Required Qualifications
- High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
- 1+ years of administrative, recruiting, human resources, or customer service experience.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Ability to handle confidential information with professionalism and discretion.
- Strong attention to detail and ability to manage multiple tasks simultaneously.
Preferred Qualifications
- Experience supporting a Talent Acquisition or Human Resources team.
- Experience using an Applicant Tracking System (ATS) or Human Resource Information System (HRIS).
- Knowledge of recruiting and onboarding processes.
- Experience scheduling interviews across multiple hiring managers and departments.
