Work Setting: Hybrid

  • 4 days onsite / 1 remote based on business needs

Pay Rate: $27.00 – $30.50/hour

Overview

The Event Coordinator supports the day-to-day operations of a conference and event space, including planning and execution of meetings, conferences, and special events. This is an intermediate-level role performing moderately complex work under general supervision, with no direct reports.

Key Responsibilities

  • Support daily operations of meetings, conferences, and event activities
  • Manage incoming inquiries (phone/email) and coordinate event space availability using a scheduling system
  • Track and respond to inquiries, ensuring timely communication and follow-up
  • Perform administrative tasks including report coordination, room signage creation, and supply inventory management
  • Assist senior team members with planning and executing larger or more complex events
  • Coordinate and test audio/visual (AV) equipment and related systems prior to events
  • Create and manage event registration tools and monitor attendance reporting
  • Ensure guest access requirements are communicated to appropriate internal teams
  • Collect and distribute presentation materials and event-related assets
  • Verify room setup, AV, and catering arrangements align with event requirements and service standards
  • Provide onsite support during events to ensure a high-quality client experience
  • Collaborate with cross-functional teams to resolve logistical issues proactively or in real time
  • Coordinate accommodations and transportation logistics, including availability, rates, and scheduling timelines

Required Qualifications

  • Intermediate experience in event planning, conference coordination, or client service
  • Working knowledge of audio/visual (AV) equipment and event-related technology
  • Strong organizational and time management skills with the ability to prioritize multiple tasks
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and professional presence
  • Demonstrated problem-solving, critical thinking, and decision-making abilities
  • Ability to work independently and within a team environment
  • Ability to work effectively in a fast-paced, deadline-driven setting
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to manage work within defined budget and operational constraints

Education & Experience

  • Bachelor’s degree in a related field preferred, or equivalent experience/training
  • Minimum 1+ year of experience in Hospitality, Marketing, Communications, or a related field
