About the Opportunity
We are seeking an experienced Administrative Coordinator to provide high-level administrative and operational support to department leadership and staff. This role is ideal for a detail-oriented professional with experience in payroll administration, procurement, budgeting, invoice processing, and executive-level administrative support.
The successful candidate will serve as a key resource within the department, helping coordinate business operations, manage financial and administrative processes, and ensure organizational efficiency across multiple functions.
Responsibilities
- Coordinate the development and submission of commission agenda items, ensuring documentation meets quality and formatting standards
- Support payroll administration, including time entry, corrections, reimbursements, mileage tracking, and approval processing
- Process, review, and reconcile procurement card (P-Card) expenses and charges
- Verify, prepare, and approve vendor invoices through company systems
- Assist with departmental budgeting activities, financial reporting, and budget reconciliation efforts
- Create, review, and maintain administrative documents including meeting minutes, memos, expense reports, employee change notices, and requisitions
- Generate and process purchase requisitions for tools, materials, and departmental needs
- Support purchasing activities, contract renewals, RFPs, and bid proposal processes
- Schedule meetings, coordinate department events, and maintain calendars and contacts
- Maintain electronic and hard-copy records and departmental files
- Submit technology and access requests for equipment, software, onboarding, and security needs
- Monitor and maintain office supply inventories
- Provide training and guidance on administrative processes, procedures, and systems
- Serve as a backup for administrative and executive assistants as needed
Required Qualifications
- High School Diploma or GED
- Minimum of 5 years of experience in an administrative, executive support, office management, or business support role
- Experience supporting payroll, purchasing, procurement, budgeting, or financial administration activities
- Strong proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint
- Experience reviewing invoices, expense reports, and financial records
- Strong organizational, communication, and multitasking skills
- Ability to work independently while managing multiple priorities in a fast-paced environment
Preferred Qualifications
- Associate’s degree from an accredited college or university
- Experience with enterprise financial or administrative systems
- Familiarity with:

- Chrome River
- Tungsten Network
- Documentum
- Experience supporting purchasing, procurement, or accounts payable functions
- Florida Public Notary License
