Administrative Services Manager

Location: Nashville, TN (Hybrid)
Contract: August 17, 2026 – June 30, 2027 (Renewable Annually)
Pay Rate: Up to $29 an hour
Schedule: Monday–Friday, 37.5 hours/week

The Tennessee Department of Health is seeking an experienced Administrative Services Manager to provide lead-level administrative and fiscal support for Maternal and Child Health (MCH) grants funded through the Rural Health Transformation Program.

This role serves as the primary administrative resource for a complex, multi-grant portfolio and includes supervision of an Administrative Assistant III. The ideal candidate will have experience supporting grant-funded programs, managing budgets and invoices, maintaining compliance documentation, and coordinating with multiple stakeholders.

Key Responsibilities

  • Serve as the lead administrative and fiscal support resource for Maternal and Child Health grant programs.
  • Track grant budgets, invoices, expenditures, and spend-down activities.
  • Review invoices and supporting documentation for compliance prior to submission.
  • Collaborate with fiscal and contracts teams to ensure timely processing and payment.
  • Maintain grant records and documentation in accordance with TDH, HRSA, and CMS requirements.
  • Support program leadership with reporting, scheduling, and administrative coordination.
  • Supervise, train, and provide oversight to an Administrative Assistant III.

Qualifications

  • Associate’s or Bachelor’s degree from an accredited college or university required.
  • Minimum of 2 years of experience providing administrative or fiscal support for grant-funded programs.
  • Strong organizational, documentation, and financial tracking skills.
  • Experience working with budgets, invoices, contracts, or grant compliance.
  • Supervisory experience preferred.
  • Experience within healthcare, public health, government, or nonprofit environments is a plus.

Work Environment

This is a hybrid position requiring:

  • Onsite attendance in Nashville on the first day for orientation and equipment deployment.
  • Quarterly onsite attendance for division meetings.
  • Standard business hours of 8:00 AM – 4:30 PM CST.
  • Non-reimbursable travel to the Nashville central office as required.
