About the Opportunity

Epitec is seeking an experienced Administrative Support Receptionist to support leadership within a large automotive manufacturing environment. This role is ideal for an organized and professional individual who enjoys being a key partner to leadership, coordinating daily business activities, and helping operations run efficiently.

The successful candidate will be responsible for managing schedules, coordinating meetings, handling communications, welcoming visitors, and supporting a variety of administrative functions. This position requires strong judgment, exceptional organizational skills, and the ability to handle highly confidential business information with discretion.

This individual will regularly interact with executive leaders, administrative partners, and operations teams, making professionalism, communication skills, and relationship-building abilities critical for success.


Key Responsibilities

  • Manage executive calendars, correspondence, and scheduling activities
  • Coordinate meeting invitations, meeting logistics, and follow-up communication
  • Resolve scheduling conflicts and keep leadership informed of updates and changes
  • Maintain, organize, and archive Outlook calendars, communications, and records
  • Screen incoming calls and respond to emails as needed
  • Greet and assist visitors while maintaining a professional and welcoming environment
  • Coordinate staff meetings, team events, off-site meetings, and leadership gatherings
  • Prepare reports, presentations, correspondence, budgets, and other business documents
  • Assist leadership with meeting preparation and materials
  • Coordinate travel arrangements, itineraries, accommodations, and expense reporting
  • Sort and distribute incoming and outgoing mail
  • Support special projects and additional administrative initiatives as needed

Required Qualifications

  • High School Diploma or GED
  • Previous experience in an Administrative Assistant, Executive Assistant, Receptionist, Office Coordinator, or similar support role
  • Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
  • Excellent verbal and written communication skills
  • Strong organizational, prioritization, and time management skills
  • Ability to manage multiple assignments and shifting priorities
  • Experience handling confidential information with professionalism and discretion
  • Comfortable working with leaders and employees across all levels of an organization

Preferred Qualifications

  • Associate Degree
  • Experience supporting executives, managers, or leadership teams
  • Experience managing complex calendars and meeting schedules
  • Strong writing, editing, and proofreading abilities
  • Experience coordinating meetings, events, or travel arrangements
  • Ability to quickly learn new software, tools, and business systems
  • Experience working in a manufacturing, automotive, or corporate office environment
