Location: Kingston, RI (Onsite)
Schedule: Monday-Friday, 8:30 AM-4:30 PM
Duration: Minimum 6-month contract with strong potential for full-time conversion

Overview

Epitec is seeking a highly organized and customer-focused Community Outreach Office Assistant / Clinic Administrative Coordinator to support daily operations within a healthcare-focused clinical environment. This role serves as the primary point of contact for clients, faculty, students, and community partners, ensuring a welcoming and efficient experience while supporting scheduling, administrative functions, and clinic operations.

The ideal candidate will have administrative experience in a healthcare or clinical setting, strong customer service skills, and experience working with electronic medical records and scheduling systems.

Key Responsibilities

Clinic Operations

  • Manage client scheduling, intake, check-in, and check-out processes
  • Maintain accurate appointment and scheduling records
  • Coordinate clinic calendars and facility utilization
  • Track and distribute parking vouchers as needed
  • Support the day-to-day operational needs of the clinic

Client Services

  • Serve as the primary point of contact for clients, faculty, students, staff, and community partners
  • Greet and assist visitors throughout their clinic experience
  • Respond professionally to phone calls, emails, and general inquiries
  • Provide confidential, customer-focused support in a professional environment

Administrative & Financial Support

  • Assist clients with credit card payments and online payment processes
  • Monitor payment activity and accounts receivable support functions
  • Assist with purchasing and procurement activities
  • Support clinic leadership and staff with administrative tasks and special projects
  • Coordinate office resources, supplies, and operational logistics

Compliance & Records Management

  • Maintain secure and accurate records
  • Ensure adherence to HIPAA, clinic policies, and confidentiality requirements
  • Support compliance with established procedures and regulations

Required Qualifications

  • Associate degree or equivalent combination of education and experience
  • Minimum of 2 years of administrative experience in a healthcare, clinical, or related environment
  • Experience using Microsoft Office Suite
  • Experience working with Electronic Medical Records (EMR) or Electronic Health Records (EHR) systems
  • Strong organizational, prioritization, and multitasking skills
  • Excellent verbal and written communication skills
  • Proven customer service experience
  • Ability to maintain confidential information and comply with HIPAA requirements
  • Ability to work both independently and collaboratively
  • Commitment to providing exceptional service to diverse populations

Preferred Qualifications

  • Experience in a healthcare, university, or academic clinical setting
  • Experience with accounts receivable, payment processing, or procurement activities
  • Experience supporting faculty, students, or multidisciplinary teams
  • Familiarity with university administrative systems
