Pay: $36.00-$41.00
Job Description:
We are seeking a highly organized and proactive Travel & Expense / Business Operations Coordinator to support a fast-paced Advanced EV organization. This position will play a key role in managing travel and expense activities, supporting leadership, assisting with employee onboarding and training, and helping coordinate day-to-day business operations.
The ideal candidate has strong administrative and executive support experience, exceptional attention to detail, and experience working with travel and expense systems such as Concur or SAP. This individual should be comfortable resolving travel-related issues, supporting corporate card administration, maintaining compliance with company policies, and serving as a resource for employees and leadership.
Key Responsibilities
Travel & Expense Management

  • Prepare and process travel and expense reports for leadership while ensuring compliance with company travel policies and timely reimbursement.
  • Serve as the primary point of contact for employees experiencing travel booking, expense reporting, or policy-related issues.
  • Partner with the corporate Travel department to resolve complex booking issues and travel-related roadblocks.
  • Assist employees with corporate travel card applications, application status tracking, card usage, and reconciliation procedures.
  • Serve as a subject matter resource for travel and expense policies and procedures.
  • Identify system errors, recurring process issues, and policy discrepancies and escalate them appropriately.
  • Provide general travel and expense assistance to employees, delivering a high level of internal customer service.

Onboarding & Training Support

  • Provide backup support to the Onboarding Lead.
  • Coordinate new-hire equipment, system access, orientation schedules, and other onboarding activities.
  • Help ensure new employees have a smooth and organized Day 1 experience.
  • Assist with employee training coordination, scheduling, and training documentation.

Business Operations & Administrative Support

  • Maintain office supplies and inventory while helping create a welcoming and organized workplace.
  • Provide general administrative and executive support to leadership and team members.
  • Assist with special projects, employee events, business initiatives, merchandise, and other operational needs.
  • Support process improvements and workflow efficiencies when opportunities are identified.

Required Qualifications

  • High School Diploma or GED
  • Strong administrative, logistics, or business operations support experience.
  • Experience supporting travel, expense reporting, or corporate card processes.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to follow established procedures.
  • Excellent written and verbal communication skills.
  • Ability to work effectively in a fast-paced, high-energy environment.
  • Ability to work onsite 4 days per week and begin onsite from Day 1.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain, Finance, or a related field, or equivalent professional experience.
  • Previous executive or leadership support experience.
  • Experience using Concur, SAP, or similar travel and expense reporting systems.
  • Experience training or assisting employees with travel and expense platforms.
  • Strong Microsoft Office skills, including:
    • Excel
    • Word
    • PowerPoint
    • Teams
  • Strong data analysis skills with an emphasis on accuracy and financial compliance.
  • Experience identifying and resolving policy or process discrepancies.
  • Experience with workflow automation or process improvement.
  • Training administration or employee onboarding experience.
  • Ability to anticipate team needs and proactively resolve problems.

Work Environment

  • Hybrid schedule: 4 days per week onsite
  • Must be available to work onsite beginning Day 1
  • Remote-only candidates will not be considered.
  • Candidates may be asked to participate in an in-person interview.
  • Candidates relocating for the position should be prepared to relocate at their own expense.
