Title: Executive Administrative Assistant
Location: Plano, Texas
Details: 12-month contract with ongoing need, opportunity for direct hire, fully onsite role
Pay Rate: $33.50/hr. with benefit inclusions
Job Summary
Provide high-level administrative and executive support to senior leaders, ensuring effective schedule management, communications coordination, and operational organization. This role requires the ability to manage highly confidential information, support complex domestic and international travel, and serve as a trusted administrative partner to executive leadership. The Executive Assistant will act as a key liaison between executives, internal stakeholders, and external partners while maintaining professionalism at all times.
Responsibilities
- Manage executive calendars and itineraries, including prioritization, conflict resolution, and meeting logistics (location, A/V, meals, materials).
- Plan, coordinate, and execute domestic and international travel, accommodations, and itineraries for executive leadership.
- Screen, prioritize, and handle executive-level communications, identifying critical matters requiring immediate attention.
- Prepare executive-level reports, presentations, correspondence, expense reports, and status updates with a high level of accuracy and discretion.
- Coordinate internal and external meetings, including VIP visits, special travel needs, and executive events.
- Maintain conference room scheduling, equipment readiness, and meeting materials.
- Process travel and expense submissions accurately and in a timely manner, ensuring proper allocation and compliance with guidelines.
- Establish and maintain executive documentation standards, templates, and administrative processes.
- Support executive relationships by coordinating acknowledgements, follow-ups, and professional courtesies in accordance with policy.
- Assist with department operations, including office management, event coordination, committee participation, and special projects as required.
Years of Experience and Education
- Bachelor’s degree required.
- Minimum of 5 years of Executive Assistant experience supporting Vice President–level executives or senior leadership.
Skills Required
- Executive-level schedule and calendar management expertise.
- Strong bilingual verbal and written communication skills (Korean and English required).
- Proven experience with travel coordination, expense reporting, and executive itineraries.
- Advanced proficiency with word processing, spreadsheets, presentations, and executive reporting tools.
- Ability to handle highly confidential and sensitive information with discretion and professionalism.
- Strong organizational, prioritization, and problem-solving skills in a fast-paced executive environment.
