Executive Assistant / Project Coordinator

Massachusetts (Hybrid – partial on campus / partial WFH, must live/work in MA)
Pay: $36–$38/hr (W2)
Contract: 3 months- possible extension
 


About the Role

We are seeking an Executive Assistant / Project Coordinator to support the Executive Director and Associate Vice Provost for Academic-Corporate Initiatives. This role provides high-level administrative support and coordinates projects supporting university-wide academic-corporate partnerships.


Key Responsibilities

Executive & Administrative Support

  • Managed executive calendar, scheduling, and planning meetings.
  • Prepared meeting materials, agendas, and supporting documentation.
  • Coordinated and booked university-related travel.
  • Composed and distributed meeting minutes.
  • Planned and coordinated office events and meetings.
  • Maintained office supplies and coordinated IT and workspace needs.
  • Processed invoices and expense reports.

Project Coordination & Corporate Engagement

  • Supported tools and systems that enhance academic-corporate collaboration.
  • Coordinated and staffed university-wide committees, partner meetings, and events.
  • Organized IT/space logistics for meetings, presentations, and events.
  • Managed complex calendars and meeting schedules.
  • Prepared briefing materials using strategic performance data.
  • Tracked action items and ensured timely follow-ups.
  • Organized and maintained electronic files for multiple projects and committees.
  • Performed additional duties as assigned.

Qualifications

Basic Qualifications

  • Minimum 5 years of related experience.
  • Strong scheduling and calendar management experience.
  • Excellent written and verbal communication skills.
  • Experience with corporate card reconciliation (Concur preferred).

Preferred Qualifications

  • College degree strongly preferred.
  • Prior university or higher education experience required.
  • Strong project coordination and organizational skills.
  • Ability to support multiple initiatives with a high degree of coordination.
  • Understanding of a complex, research-intensive academic environment.
  • Ability to take direction and execute tasks with minimal oversight.

About the Organization

The Office of the Vice Provost for Research oversees research policies, compliance, and academic research initiatives across the university. The team collaborates with faculty and leadership to support cross-disciplinary research, improve research operations, and ensure responsible conduct and regulatory compliance.
