POSITION SUMMARY:

We are seeking an organized and proactive IT project coordinator with 3-5 years of experience supporting technology projects from initiation through implementation. The ideal candidate will coordinate project activities, track schedules and deliverables, facilitate communication across technical and business teams, and ensure projects remain on track with respect to scope, schedule, risks, and dependencies.

The successful candidate will closely work with project managers, business stakeholders, IT teams, vendors, and leadership to support the successful delivery of IT initiatives.
 

DETAILED LIST OF JOB DUTIES

 

  • Coordinate day-to-day activities for IT projects and ensure project tasks and deliverables remain on schedule.
  • Maintain project plans, schedules, action-items logs, risk register, dependencies (RAID log), status reports ,and project documentation.
  • Track project milestones, risks, issues, decisions, and change requests.
  • Schedule and facilitate project meetings, including preparing agendas, capturing meeting minutes, and following up on action items.
  • Coordinate communication among business stakeholders, technical teams, vendors, and project leadership.
  • Monitor project progress and proactively identify schedule delays, resource constraints, risks, and dependencies.
  • Prepare weekly and monthly project status reports and executive-level updates as needed.
  • Support project managers with budget tracking, resource planning, procurement activities, and vendor coordination.
  • Assist with project intake, planning, requirements gathering, implementation planning, and project closeout activities.
  • Support governance processes and ensure projects follow established PMO standards, methodologies, and controls.
  • Assist with change management, stakeholder communications, training coordination, and implementation activities.
  • Coordinate production releases and post-implementation activities when applicable.
  • Escalate significant risks, issues, and schedule concerns to the Project Manager in a timely manner.
  • Contribute to continuous improvement of project management processes, templates, and reporting.
  • Work with business and vendor support contacts as necessary to assist in the smooth operation of the IE&E Projects

EDUCATION, EXPERIENCE, and QUALIFICATIONS

 

  • 3–5 years of experience in IT project coordination, project management, PMO, business analysis, or a related technology environment.
  • Experience working with cross-functional technology teams.
  • Experience working with third-party vendors and managing vendor deliverables.
  • Strong organizational, time-management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Experience creating project status reports, schedules, meeting minutes, action-item logs, and project documentation.
  • Ability to track multiple projects, priorities, and deadlines simultaneously.
  • Strong analytical and problem-solving skills.
  • Experience coordinating software development, system integration, application implementation, infrastructure, cloud, data, or cybersecurity projects.
  • Familiarity with IT governance, SDLC, change management, release management, and PMO processes.
  • Ability to work effectively with technical and non-technical stakeholders.
  • Proficiency with Microsoft Office, particularly Excel, PowerPoint, Word, and Outlook.
  • Experience with project management or collaboration tools such as Microsoft Project, Jira, Azure DevOps, Smartsheet, Confluence, or similar platforms.
  • Experience working in an enterprise IT, healthcare, government, financial services, or similarly regulated environment.
  • Experience with Agile, Scrum, Waterfall, or hybrid project management methodologies.
  • Basic understanding of APIs, databases, application integrations, cloud technologies, and enterprise systems is a plus.
  • Nice to have: PMP or CSM or other related project management certification.
