Job Description:  

Key Responsibilities 

  • Manage and facilitate recurring internal approval processes, including intake management, materials preparation, pre-read distribution, tracking, and follow-through. 

  • Review approval packages for completeness and quality, identify information gaps, and coordinate with stakeholders to obtain required inputs. 

  • Maintain approval trackers, records, workflow documentation, process diagrams, glossaries, and governance resources. 

  • Coordinate cross-functional reviews and approvals across Finance, Legal, Energy, Space Planning, and other business partners. 

  • Prepare materials and logistics for live review meetings, including presentation assembly and post-meeting follow-up activities. 

  • Lead business-side implementation activities for a portfolio management platform replacing legacy tracking processes. 

  • Define testing scenarios, execute user acceptance testing, validate workflow requirements, and coordinate feedback with engineering teams. 

  • Support data migration activities, data quality validation, field mapping, and access control administration. 

  • Develop executive-facing communications, pre-reads, status updates, summaries, and leadership reporting materials. 

  • Build, maintain, and enhance recurring reports, dashboards, operating reviews, and pipeline visibility metrics. 

  • Identify process gaps, operational bottlenecks, and automation opportunities to improve efficiency and scalability. 

  • Create and maintain playbooks, standards, templates, and process documentation. 

  • Support change management initiatives through communications, training sessions, user guides, office hours, and adoption tracking. 

Requirements 

  • 5+ years of experience in Business Operations, Program Operations, Program Coordination, Project Coordination, Process Management, or a related field. 

  • Proven experience managing recurring, deadline-driven business processes involving executive and senior-level stakeholders. 

  • Experience gathering business requirements and partnering with Engineering, Product, or Technical teams on internal system implementations. 

  • Hands-on experience with User Acceptance Testing (UAT), workflow validation, and process implementation activities. 

  • Exceptional written communication skills with the ability to create concise, executive-level communications. 

  • Strong analytical, organizational, and problem-solving abilities with attention to detail. 

  • Ability to manage multiple priorities and parallel workstreams in a fast-moving environment. 

  • Experience handling confidential and sensitive business information with discretion. 

  • Proficiency with Google Workspace, including Google Docs, Sheets, and Slides. 

  • Experience using project tracking, workflow, or operational management tools. 

Preferred Qualifications 

  • Experience supporting data center, infrastructure, energy, real estate development, construction, or capital project environments. 

  • Experience working with governance frameworks, approval boards, capital authorization processes, or investment review programs. 

  • Experience building or supporting operational dashboards and reporting environments. 

  • Experience leading change management, user adoption, training, and process rollout initiatives. 

  • PMP, Agile, Operations Management, Lean, Six Sigma, or similar professional certification.
