Job Title: Recruiter Assistant
Contract Duration: 6 months, possible extension
Location: Chicago, IL or Richardson, TX
Work Arrangement: Remote
Pay Rate: $28/hr
Summary
Under general supervision, the Recruiter Assistant provides administrative and operational support to the Talent Acquisition team. This role is responsible for coordinating interview schedules, tracking candidate progress, supporting pre-employment processes, and maintaining accurate data within the Applicant Tracking System (ATS). The Recruiter Assistant works closely with Recruiters to ensure a smooth and efficient hiring process while delivering a positive candidate experience.
Responsibilities
Recruiting Administration
- Coordinate and schedule interviews between candidates, recruiters, and hiring managers.
- Manage interview logistics, confirmations, and calendar invitations.
- Provide timely communication and support throughout the recruitment process.
- Assist with pre-hire documentation collection, filing, and record maintenance.
Candidate & Hiring Process Support
- Monitor candidate background checks and follow up on outstanding requirements.
- Track assessments, screenings, and pre-employment activities as needed.
- Ensure candidate records are updated accurately and confidentially.
- Support candidate movement through various stages of the recruitment lifecycle.
Applicant Tracking System (ATS) Support
- Maintain and update candidate information within the ATS.
- Process candidate moves and workflow updates as directed by Recruiters.
- Generate candidate reports and recruiting metrics as requested.
- Assist with system audits and data integrity efforts.
Reporting & Administrative Support
- Prepare recruiting reports and dashboards for Talent Acquisition leadership.
- Support ad hoc recruiting projects and administrative requests.
- Maintain organized electronic files and documentation in accordance with company policies.
- Ensure compliance with hiring practices, documentation standards, and confidentiality requirements.
Required Qualifications
- High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
- 1+ years of administrative, recruiting coordination, HR support, or customer service experience.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred Skills
- Experience supporting Talent Acquisition or Human Resources teams.
- Experience with Applicant Tracking Systems (ATS) such as Workday, SuccessFactors, or similar platforms.
- Familiarity with background check and pre-employment processes.
- Experience generating reports and maintaining recruiting data.
