Job Title: Executive Administrative Assistant
Location: Coppell, TX 
Work Arrangement: 4 days onsite, 1 day remote
Contract: W2 6 months to 1 year with a strong potential to extend
Pay range: $30-35/hour

Summary
This position plays a critical role in supporting senior executives by managing complex administrative tasks, coordinating high-level meetings, and ensuring seamless communication across teams. It requires exceptional organizational skills, strong interpersonal abilities, and technical proficiency to handle diverse responsibilities effectively. The ideal candidate will excel in a fast-paced environment, demonstrating the ability to anticipate needs, prioritize tasks, and maintain confidentiality while delivering high-quality support to leadership.

Responsibilities

  • Executive Support: Provide comprehensive administrative support to senior executives, including managing schedules, coordinating travel arrangements, and preparing meeting materials.
  • Meeting Coordination: Organize and facilitate high-level meetings, ensuring all logistics are handled efficiently and follow-up actions are communicated promptly.
  • Document Management: Prepare, review, and manage confidential documents, reports, and presentations to ensure accuracy and professionalism.
  • Communication: Serve as a liaison between executives and internal/external stakeholders, handling correspondence and ensuring clear and effective communication.
  • Project Assistance: Support cross-functional projects by assisting with planning, tracking progress, and ensuring timely delivery of deliverables.
  • Process Improvement: Identify opportunities to streamline administrative processes and implement solutions to enhance efficiency and productivity.
  • Confidentiality: Maintain the highest level of confidentiality for sensitive information and executive communications.
  • Facility/Emergency Coordinator at the Coppell location : managing seating charts, Outlook emails/contacts, parking spaces, and conference/meeting room reservations, including A/V setups and room allocations based on project needs. Acts as a liaison or gatekeeper for location/facility/warehouse/office/landlord-related issues involving multiple stakeholders at the Coppell site.
  • Others : Supports mail-room services, floral arrangements, and office supply orders in collaboration with the GA team specifically for the Coppell location.

  • Proven track record of supporting senior-level executives in a corporate or professional setting.

  • Proficient bilingual preferred(English/Korea), as the role involves frequent corresponding with HQ
