We are seeking a highly organized and detail-oriented Program Assistant to support the implementation of healthcare professional licensure compacts associated with the Rural Health Transformation Program. This position works closely with the Chief of Program Development to ensure the successful administration of compact licensure processes, maintain accurate licensing resources, support stakeholder communications, and provide training and guidance to staff.

The ideal candidate will possess strong administrative, organizational, and customer service skills, along with the ability to manage multiple priorities in a fast-paced environment. This role serves as a key resource for both staff and the public regarding compact licensure requirements and procedures.

Key Responsibilities

Program Administration & Implementation

  • Support the implementation and administration of healthcare professional licensure compacts and related program initiatives.
  • Collaborate with the Chief of Program Development to anticipate and address changes affecting regulated healthcare professions and licensing requirements.
  • Update licensing applications, forms, checklists, guidance materials, and related documentation to ensure compliance with current policies and procedures.
  • Gather, research, and organize information to support administrative decisions and program development activities.
  • Assist in the coordination and execution of major projects and initiatives with statewide impact.

Customer Service & Stakeholder Support

  • Serve as a primary point of contact for inquiries related to licensure compacts, program policies, and procedures.
  • Respond to customer service concerns and resolve issues whenever possible, escalating complex matters to the Chief of Program Development as needed.
  • Provide guidance and training to internal staff regarding program requirements, public inquiries, and emerging licensing issues.
  • Communicate effectively with agency personnel, government officials, licensees, and members of the public.

Administrative Support

  • Draft, prepare, and distribute correspondence, official forms, reports, and other program-related documents.
  • Maintain official agency records and files, ensuring information is accurate, complete, and current.
  • Coordinate meetings, attend conferences and program-related events on behalf of leadership when assigned, and prepare summaries or reports.
  • Manage administrative details and follow-up activities to support the efficient operation of the program.
  • Monitor and requisition office supplies and equipment as needed.
  • Perform other related duties as assigned.

Required Knowledge, Skills, and Abilities

  • Knowledge of the principles and practices of public administration.

  • Knowledge of modern office administration and management practices.
  • Understanding of policy implementation processes and administrative procedures.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to analyze information and support informed decision-making.
  • Ability to establish and maintain effective working relationships with colleagues, stakeholders, and the public.
  • Excellent verbal and written communication skills.
  • Ability to prepare clear, accurate, and concise reports and correspondence.
  • Strong problem-solving skills and the ability to exercise sound judgment when handling sensitive matters.
  • Proficiency in standard office technology and software applications.

Minimum Qualifications

Education

Completion of at least two years of study at an accredited college or university.

Experience

Considerable experience supporting a senior-level government official or executive through the performance of moderately complex administrative, operational, or program-support functions. Experience should include involvement in the implementation or administration of significant programs, projects, policies, or initiatives.

Any combination of education and experience that demonstrates possession of the required knowledge, skills, and abilities and is substantially equivalent to the qualifications listed above.

Preferred Qualifications

  • Experience working in government, regulatory, licensing, healthcare, or public administration environments.
  • Experience interpreting policies, procedures, regulations, or program requirements.
  • Experience providing training, technical assistance, or customer service to internal and external stakeholders.
  • Experience managing multiple priorities while maintaining a high degree of accuracy and professionalism.
